Checklist-based visits · observable conditions · documented exceptions
Property Check Services Kansas City
A property-check plan gives management a repeatable record of defined, observable conditions at planned times—without suggesting continuous monitoring or guaranteeing that a site is secure.
01Write a property-specific checklist
The approved checklist should name the areas and observable conditions assigned for each visit.
- Entrances, gates, doors, and approved access points
- Parking, exterior, and common areas
- Visible lighting, damage, maintenance, or access exceptions
- Closing, vacant-property, or construction observations
- Required management and emergency contacts
- Authorized photographs and retention rules, when applicable
02Separate routine completion from an exception
The reporting process should distinguish a completed routine check from an observation that requires added notes, authorized photographs, an incident record, or immediate notification.
03State what happens between visits
A property check is a planned visit, not continuous coverage. The proposal should define the expected visit window or pattern and make clear that no officer is represented as watching the property between checks.
04Use checks alone or inside a broader plan
Property checks may be evaluated as a standalone checklist or as part of mobile patrol, commercial, construction, or portfolio coverage. Any combination remains subject to a written scope, staffing, route feasibility, and approval.
Questions property managers ask
Clear expectations before coverage begins.
What is documented during a property check?+
Only the locations and observable conditions listed in the approved checklist, plus required exceptions and notifications.
Is a property check the same as a security patrol?+
A property check is a defined checklist visit. A broader mobile patrol plan may include visibility, multiple checks, and additional written duties.
Can a check confirm that nothing happened?+
No. Personnel can document observable conditions during the visit, but a check cannot guarantee security, prevention, or conditions outside that time window.
Are photographs included with every check?+
Not automatically. Photographs require written authorization, privacy and retention procedures, and support in the configured reporting process.
