Security Post Orders Planning Guide
Good post orders turn a proposal into clear field instructions. They tell assigned personnel what to do, what not to do, who has authority, and how work is documented.
01Start with scope and authority
Identify the property, approved areas, coverage window, authorized duties, client representatives, and who may change instructions.
- Site address and approved coverage areas
- Coverage dates, days, and time windows
- Authorized duties and observable conditions
- Prohibited actions and assignment boundaries
- Management and emergency contacts
- Instruction-change and approval process
02Define access and interactions
Document keys, credentials, gates, visitor or contractor procedures, resident or tenant interactions, verification steps, privacy limits, and when access must be refused or escalated.
03Specify reporting and notifications
State what routine activity requires, what creates an incident report, whether photographs are authorized, who receives records, and which observations require immediate notification.
04Review before launch and after changes
Management and the provider should approve the current version before coverage begins and revisit it when the property, schedule, contacts, duties, or recurring concerns materially change.
Questions property managers ask
Clear expectations before coverage begins.
Who approves post orders?+
The contracting property representative and provider should identify authorized approvers before launch.
Can an officer change the instructions?+
No independent change authority is implied. Material changes should follow the documented approval process.
Should emergency procedures be included?+
Yes. Define when to contact 911, management, maintenance, or another approved contact without suggesting private security replaces emergency services.
How often should post orders be reviewed?+
Review them before launch, at agreed intervals, and whenever the property, contacts, schedule, or duties materially change.
